Inefficiency in the
workplace leads to poor productivity and low morale. Good administration can
overcome this inefficiency. Demotivation and dissatisfaction at work lead to
inefficiency which causes low productivity which loops you right back round to
demotivation again.
Create a plan with
clearly defined policies and procedures. set-up communication systems to keep
in contact with remote employees – in addition to email. train managers and
team leaders to keep remote workers accountable. start with a pilot.
Companies should be
focusing on accomplishing future goals with strategies that increase employee’s
overall productivity.
What are the actions we can get to overcome this problems
1. conduct an employee survey
HR can evaluate their
employees as different ways. They can use different systems and online
flatforms to survey their employees.
Example – SAP system
evaluation.
Likewise sit down with
your employees and ask them which processes are not working for them or which
methods are slowing them down. Also, engage them on how they think the process
can either be changed, updated, or overhauled.
HR can ask different kind of question regarding to employee
- About happiness of the work place
This is not a comfortable question for an employee. But if you want to know about real situation, should be ask that question and according to that need to be done the adjustments. If employees are unhappy or dissatisfy, that will be directly affect for inefficiency of the workplace.
- Understanding about the carrier ladder and the promotion procedure
Most employees will stick with a company when they fully aware of the career ladder steps and how to climb them. So there should be a transparency about this promotion procedure. If employees do not know how to move up in their careers within the company it will be affected to inefficiency and dissatisfaction.
- About work life balance
Balanced work and home life are very important for employee. Sometimes employee has not time to consider about his family life cause of the high work load and pressure. Sometime employee has to work extended hours and abandoned family responsibilities. So people become disappointed and try to find another job opportunities. Therefore HR should be given priority employees family as well as office work. Need to be help them to develop their social status.

Ask about physical and mentally satisfaction of the workplace environment
- Meeting frequency
Some companies arrange lot of inefficient meetings and wasted time of the employees. Therefore need to be get feedback from employees and arrange proper schedule foe meetings.
2. Update technology, tools and continuous training
Attract top talent and maintained a staff of best employees, outdated tools and tech can severely impede productivity and create frustration among your best employees. Also when update technology continuously, tools should be necessary to update for keep business processes running smoothly. Also opportunity should be provided to innovation. Otherwise talented employees become disappointed due to lack of chance to develop their talents. It will be caused to dissatisfaction and inefficiency of the work place.
Therefore HR should be focused on below areas
- Look at company budget to decide which areas require immediate upgrades of tools and technology
- prepare training materials to get employees up to speed on newly acquired technology tools
- Continuous training about respective subject of employee
- monitor success of newly implemented tech and perform frequently
- Can be organize mentoring programs to increase employee’s mentality and work life balance.
- Need to be developed employee moral
3. Offer skill and career development pathway
Organization can offer
career development and skilling resources to ensure employee skills remain
relevant and they have opportunities to grow internally at your organization.
HR can arrange training and development programs to improve their employee’s
knowledge and skills. Can be given financial support to talented volunteers to
develop their skills as well.
Ex- Foreign scholarship
Scholarship for MBA
Also need to be increase internal training with industry experts.
4. Match tasks to skills
Knowing employee’s skills
and behavioral styles is essential for maximizing efficiency. If asking your
employees to be great at everything just isn’t efficient. Before giving an
employee an assignment, ask yourself, is this the person best suited to perform
this task? If not, find someone else whose skills and styles match your needs.
One of the ways that organizations can improve employee productivity is by proving they care about employees. To encourage employees to be more efficient is to actually give them a reason to do so by providing adequate severance benefits, including career transition services for all employees, employers can do the right thing while saving themselves multiple negative consequences associated with workforce restructuring. If HR can create performance base incentive method, employees will be worked more for get additional revenue. Then organization productivity will be increased automatically and inefficiency can be reduced.
6. Develop working environment
Any employee can’t perform well within uncomfortable working environment even he is perfect employee. Therefore HR has a responsibility to create good work place for their employees.
Employee should have ability to quick access to information what they need. People can waste huge amounts of time and become frustrated when the knowledge they need to do their work isn’t easily available. To maximize performance, you need ways to release information from silos. Better knowledge-sharing means greater workplace efficiency.
7. Stop Micromanaging
Micromanaging can add unnecessary steps to a process and make people feel they’re not trusted. Both of these can reduce morale. Continuous monitoring is good process but HR should know the limitation of the human freedom.
8. Maximize diversity
Having teams that reflect the diversity of your customer base can act as a boost to efficiency. Encouraging collaboration within a diverse team, where each person can learn and teach their colleagues in equal measure. It is vital in boosting workplace efficiency.
9. Flexibility
HR should think their
employee’s flexibility to get higher benefits. According to situation, some
decisions should be get, before organizations are not implemented.
Example – introduce work
from home concept within Covid 19 pandemic situation
Letting employees
telecommute will allow them to save time that would otherwise be wasted
completely.
Conclusion
As I describe, there are
lot of factors are affected to inefficiency of employees. Most of this
situation can be appeared between middle level and lower level employees. As my
point of view, the main reason is not enough knowledge for middle level
management about leadership. Likewise lower level employees have not proper
idea about there path of the organization and their responsibilities. Therefore
HR should develop not only their skills but also their thinking pattern as
well. Should be arrange more mentoring programs to develop employee’s mental
health. Also HR have a responsibility to maintain employee’s work life balance.
Need to be act as a friend, act as a family member to the employees. If HR can
do these things definitely can be reduced inefficiency of the work place.

But considering middle & bottom level, they have not appropriate knowledge & idea about this leadership styles.they only consider about complete their task anyhow. As a good leader managers should lead their follower for their betterment as well. So HR has responsibility to create this kind of good leaders. So need to be increase trainig & development targeting middle & bottom level employees

Hence most of the companies tends to go with online training and even though the situation normalize they continue with online training. However my belief is that it is not effective as traditional training methods. Hence I personally believe that HR departments should strongly focus on trainings than the past

Today lot of companies conduct online training but some times they are not effectice as physical. As my point of view the reason is most employees are not engage with new technology. Therefore they don't feel it like physical training. Attention may be lost. But with this pendemic situation we should adapt to this new technology & need to be get advantages of distance learning
